Pledges

What is a pledge?

A pledge is created when a campaign form has been completed and submitted - otherwise known as new sign ups or new donors.

Filters

To find a specific pledge, simply use the search bar at the top of the current page if you have the Pledge ID or use the filters to search on details such as donor or fundraiser name. If you don't have this information you can use fields such as the date range the pledge was created to search on.

If you've used the filters in our exporters you'll be familiar with how these work. They allow you to combine AND (all) and OR (any) arguments in unlimited trees of almost unlimited filtering..

Favourites

You can save your filters for quick access later.

For example, This morning I want to filter all the approved pledges from yesterday on one campaign. I want this every morning, so today I filter this combination and hit the heart button. I give the button a name and now all I need to do is hit the button every morning...

These favourites are for you only, they're saved per user. You can have as many as you like, for all your workflows, perhaps even some new ones.

What's the difference between "Capture Date" and "Validation Date?"

Capture Date is the date the fundraiser first created the pledge in Evergiving. Validation Date is the date that a validation outcome was selected and applied to the pledge. This is especially useful if you want to export approved pledges from Evergiving as soon as they are validated.

By default, pledges are sorted per date (newest on top).

What are the different pledge statuses in Evergiving?

Besides a few unique workflows involving cash or instant payments, all new pledges are automatically saved with a Status of Pending. This means they are pending, awaiting the result of a validation workflow being applied to them.

The result of an interaction in a validation workflow typically falls in to three categories, the pledge is either OK, not OK, or something else.

Evergiving calls these 'Status' and labels them as follows:

  • 'Approved'
  • 'Invalid'
  • 'Alien'
    Something else (Alien) usually indicates the donor does not meet minimum criteria for quality required for your face to face fundraising campaign. It's likely this donor will have their payments transacted but they are neither Invalid nor Approved from the fundraiser's perspective (statuses typically used to reward or otherwise).

Can I assign a Reporting Week to my pledges?
If you use Reporting Weeks in your operation, we can implement logic to assign a week to each pledge.

Reporting weeks are calculated using the ISO week date standard and are based on the pledge creation date (unless you have requested custom reporting week logic for your account account). Reporting weeks can also be manually adjusted from the edit pledge screen. If you would like custom reporting week logic, you just need to let us know on which date of the current year the second week of your reporting week starts.

The Reporting Week is then used in your filters to help you segment your data.

Finding Missing Pledges

Pledges can appear to go missing for a variety of reasons, including poor internet connectivity, human error and team configuration issues. If you can't locate a pledge then working through the following questions could help you to find and recover it.

First question - did the fundraiser submit the pledge?
It's possible that the fundraiser filled out the form with the donor's details but then, for whatever reason, didn't actually submit the pledge.

You can check if this has happened by asking the fundraiser to view the form on the same tablet as they were using before. If they forgot to submit the pledge then the fields will still be populated with the donor's details.

If this is the case then you can recover the pledge simply pressing the 'Save' button on the final page of the form.

If the fundraiser did submit the pledge, it will be listed under the 'My last 3 pledges' section on their Dashboard.

Second question - is the pledge stored locally on the iPad?

Some areas have patchy or non-existent mobile data coverage. Evergiving is able to store pledges locally on the tablet when an internet connection isn't available so they can be uploaded to our servers when a strong internet connection is established.

You can check if there are any pledges stored on the tablet from within the Fundraiser Dashboard - any pledges that are stored locally will be shown in the 'Un-sent pledges' list. If there are pledges in this section, just connect to a stable internet connection and the pledges will be automatically submitted. If they don't automatically submit, the fundraiser can press the 'Re-send' button and manually submit the pledge.

Final question - is the pledge waiting in a queue?

In some cases it might not be possible for the system to process a pledge due to an incorrectly set up team or fundraiser not refreshing their browser from their previous session to pick up a change in their team setup. If this happens the pledge will be put into a queue until the problem is corrected.

You can view all of the queued pledges in your account by going to the 'Pledges' tab in the administration interface and then clicking on the 'Queued Pledges' button:

To recover a pledge from the queue click on the 'Action Required' link:

You will then be prompted for more information. Choose the most appropriate action and then click on 'Apply'. The pledge will then be processed.

If you still can't find a missing pledge after working through these questions please contact our support team (support@evergiving.com) who will investigate further. If at all possible please let us know the name of the fundraiser who took the pledge, any known donor details and the approximate time and date the pledge was made.
